APPLICATION TO A CALL
Current calls for study exchanges abroad are published on our Faculty’s website. Before applying, please carefully check the conditions and required documentation for each call. The most common choice among students of the University of Ljubljana is the Erasmus+ program, but the application process is similar for other programs as well.
The conditions for the exchange are:
- student status during the exchange period, except in the case of Erasmus+ internship after completing the studies
- completing the 1st year of undergraduate studies
- obtaining at least 20 ECTS per semester abroad or preparing a final thesis
The application process is as follows:
- after the published call (beginning of December), choose a partner university (we recommend choosing at least 3 universities)
- submit the application via STUDIS, and attach a motivation letter in English (usually mid-January)
- in the case of CEEPUS application: submit the application according to the instructions, and at the same time inform the International Office about it
- in the case of Erasmus+ internship: submit the application at least 1 month before the start of the internship. You must find the institution where you will be doing the internship yourself, as you do not need a concluded inter-institutional agreement to leave. Send the Learning Agreement and motivation letter to international@fu.uni-lj.si. For more information, you can read the current call or contact the International Office.
- After submitting your application, a short interview will follow, usually at the end of January or beginning of February
- After the interview, the candidates will be selected. You will be informed about the selection by e-mail
BEFORE GOING ABROAD
Before leaving, you must arrange all the documentation at the Faculty of Administration, the University of Ljubljana and the host university.
At the Faculty of Administration, you must:
- complete Najava predmetov (Course Declaration), which specifies the courses you will take abroad that will be recognized at the FU. For this, you need the signature of your program administrator, and send the signed Declaration to international@fu.uni-lj.si
- an Online Learning Agreement, which you prepare when we confirm your Declaration. It must be signed by you, the FU and the host university.
All forms are available under Pravilniki in obrazci (Študijska izmenjava v tujini).
To receive an Erasmus+ scholarship at the University of Ljubljana, you must submit an online application in the VIS-UL portal in accordance with the instructions you receive from the UL.
When you are nominated to a host university, they will provide you with instructions for registering in their system. Registration deadlines are often short, so it is essential to regularly monitor your student email. From them, you will usually receive:
- Application Form
- Accomodation Form (some universities do not provide student dormitories, so it is essential to inquire beforehand and start looking for accommodation in good time)
You can always contact the International Office for help in filling out the forms and documentation.
DURING YOUR EXCHANGE ABROAD
Upon arrival, it is important that the host university signs a Confirmation of Stay form with the date of your arrival.
After arrival, you may have to change your chosen courses. In this case, you must immediately notify the International Office of the change and prepare a Sprememba najave predmetov (Change of Course Announcement) (the form can be found at Pravilniki in obrazci). The document must be confirmed and signed by your program administrator again, and then sent to international@fu.uni-lj.si. After the change has been confirmed, you must then change your Online Learning Agreement. This must be signed again by you, us at FU, and the host university.
END OF EXCHANGE
Before you leave home, the host university will issue you with:
- Confirmation of Stay, which is a confirmation of your mobility period
- Transcript of Records, which is a confirmation of the obligations you have fulfilled, based on which we can recognize your courses at our Faculty
You must then send the received documentation to international@fu.uni-lj.si, along with a completed internal questionnaire about your exchange experiences. Upon completion, we will provide you with a Certificate of Recognized Obligations.
To receive the full Erasmus+ scholarship, you must submit all the necessary documentation (Confirmation of Stay, Transcript of Records and Certificate of Acknowledged Obligations) to the VIS-UL portal.

We would like to inform you that the company GoinGlobal is based in the USA: in accordance with the provisions of the Personal Data Protection Act (Official Gazette of the Republic of Slovenia, No. 94/07 – UPB), by registering on the GoinGlobal portal, you will transfer your personal data to a third country (to a country that is not established and registered in an EU or EEA member state or is otherwise not subject to its legal system).
